Short-Term Rental Operating Expenses to Model

By EstateCalcHub · Published and reviewed 2026-09-30 · Educational U.S. property scenarios

The direct answer

A short-term rental cost model should distinguish percentage revenue fees, fixed operating costs and occupancy-dependent expenses. Cleaning collections belong in revenue while cleaning payments belong in cost; both need consistent treatment.

Identify costs linked to room revenue

The model applies platform and management percentages to gross room revenue. An actual contract may use another basis or a minimum fee. Confirm that basis before consolidating the assumption. Adding two percentages describes two separate charges on the same revenue base here; it is not a sequential percentage calculation unless the agreement defines one that way.

Separate fixed obligations from activity-driven expenses

Insurance, recurring property charges and base operating commitments can remain when nights are unbooked. Cleaning, supplies and other costs may depend on stays rather than just nights. The calculator accepts annual variable cost as an entered total, not a per-stay schedule. Build that total from a booking pattern when stay length changes the cost. Debt service is outside its operating-profit subtotal.

Reconcile other income and cost together

A cleaning charge collected from a guest is not automatically profit. Show the cleaning payment and any fee basis separately. If another revenue estimate is already net of platform fees, do not deduct those fees again. A review of the calculation bridge should make each collection and expense visible and prevent overlapping totals.

Worked example

The default $42,705 room revenue creates $1,281.15 platform fees at 3% and $6,405.75 management fees at 15%. Deduct those amounts and $18,000 fixed costs for $17,018.10 operating profit when other income and variable costs are zero. Adding $2,000 cleaning collections and $2,500 cleaning costs lowers profit by $500 in this model.

Common mistakes and limitations

Costs driven by stays can differ for 200 nights sold as twenty long stays or one hundred short stays. A single occupancy percentage does not capture that pattern.

Frequently asked questions

Does the operating-profit result include debt service?

No. The short-term operating model has no debt-service input; use a separate after-debt cash-flow scenario if needed.

Are the default fee percentages market standards?

No. They are illustrative editable assumptions, not a claim about any platform or management contract.
