Break-Even Occupancy for a Vacation Rental

By EstateCalcHub · Published and reviewed 2026-09-30 · Educational U.S. property scenarios

The direct answer

Vacation-rental break-even occupancy depends on the room revenue retained after percentage fees and the net fixed costs to cover. The simple formula divides fixed and entered variable cost less other income by ADR, available nights and the retained room-revenue share.

Use retained revenue per occupied night

If platform and management fees apply to the same room-revenue base, subtract their percentage rates from 100% to calculate the retained share. At $180 ADR and 18% combined fees, each modeled booked night contributes $147.60 before other costs. An actual contract using a different fee base needs a reconciled assumption. If percentage fees consume all room revenue, this break-even equation cannot produce a meaningful positive capacity threshold.

Define what the cost total represents

The linked model uses entered annual variable cost as a fixed scenario total in the break-even formula. It does not calculate a cleaning cost per stay or a utility cost per additional night. Other income is deducted from the cost burden in this simple equation. If those amounts also change with occupancy, review a range of full operating scenarios rather than treating the threshold as an exact booking target.

Compare required and available capacity

A threshold above 100% indicates that modeled full-capacity room revenue after fees cannot cover the selected net costs. It is useful information, not a reason to hide the output. The calculation also excludes debt service unless a separately defined cost assumption includes it; clarify whether you are asking for operating coverage or an after-debt cash break-even point.

Worked example

At $18,000 net annual costs, $180 ADR, 365 available nights and 18% combined fees, full-capacity retained room revenue is $53,874. Required occupancy is $18,000 divided by $53,874, or 33.41%. This simplified threshold holds the supplied cost total fixed.

Common mistakes and limitations

Do not use the long-term break-even formula on gross short-term room revenue while ignoring percentage fees. The calculator reports the threshold as unavailable at 100% or greater combined percentage fees.

Frequently asked questions

Does this include my loan payment automatically?

No. The short-term operating model has no debt-service input; an after-debt question requires an explicit additional cash-flow framework.

Does the threshold predict booked nights?

No. It is a cost-coverage relationship under the supplied assumptions, not an occupancy forecast.
