NOI in Commercial Real Estate: What Counts as an Expense?

By EstateCalcHub · Published and reviewed 2026-09-30 · Educational U.S. property scenarios

The direct answer

Commercial NOI is effective operating income less the recurring property operating costs on a defined basis. Tenant recoveries and landlord-paid costs need consistent treatment. Debt service and investor income tax remain outside the operating subtotal.

Review the lease responsibility map

A commercial owner may pay a cost and recover some or all of it from tenants. Show both sides consistently so reimbursements are not treated as free additional income. Lease exclusions or vacant space can leave the owner with unrecovered amounts. The aggregate NOI calculator accepts consolidated income and expense inputs; it does not interpret reimbursement clauses or calculate each tenant’s share.

State the reserve and capital convention

Ordinary maintenance differs from major replacement spending. A valuation analysis may treat reserves in a specified way, which must match the comparison cap-rate basis. Do not deduct an overlapping reserve and replacement again without explaining the timing. A low expense total that omits management or deferred work can overstate sustainable NOI.

Keep financing in the next layer

Annual principal and interest payments affect cash available to equity but do not define property NOI. Depreciation and investor taxes also answer different accounting questions. Normalize the period and clarify whether the statement is trailing or stabilized before capitalizing it or comparing properties. A positive subtotal does not establish debt affordability or protect against future lease rollover.

Worked example

An illustrative $500,000 effective rent plus $100,000 tenant recoveries less $250,000 landlord operating costs produces $350,000 NOI when recoveries and costs are consistently modeled. A $200,000 annual debt payment would leave $150,000 cash flow, without changing the $350,000 operating subtotal.

Common mistakes and limitations

Do not include a reimbursed cost in expenses while omitting its recovery, or add the recovery after costs have already been netted. Keep the same NOI basis when choosing a cap rate.

NOI conventions vary in treatment of reserves and owner-specific expenses; debt service and depreciation must not be included as operating expenses.

Frequently asked questions

Do NNN recoveries eliminate the need to review expenses?

No. Actual lease terms and unrecovered costs can matter; review both income and cost responsibilities.

Are loan payments part of commercial NOI?

No. They are deducted after NOI when estimating equity cash flow.
